Job Description:/h3:
The Marketing and Operations Concierge (MOC) is responsible for managing the administrative team, marketing, and operations at The Beliveau Group.
A high:performing MOC is organized, proactive, direct, results:oriented, creative and positive. The MOC works quickly, efficiently, and accomplishes many tasks (large and small) each day. The MOC is responsible for cultivating referrals and repeat business through systems and supreme customer service, executing marketing and events, managing systems, technology, and work processes, and leading the administrative team.

Key 20 Tasks

x25CF; Generate at least 15 five:star online reviews or video testimonials per month

x25CF; Generate at least 30 new referrals per month (through events, marketing and social)

x25CF; Set up CRM and systems for daily tracking and accountability of incoming leads, agent activities, and ops team activities

Marketing, Advertising and Lead Generation

x25CF; Standardize, train, and hold team accountable to using team scripts and dialogues

x25CF; Generate and hold ops staff accountable to generating at least 30 referrals per month through elite customer service, proactive problem:solving, weekly pending system, and commitment to doing whatever it takes to leave clients satisfied with our services

x25CF; Manage all client events per annual business plan with at least 100 in attendance at major quarterly events (execution, budgeting, marketing)

x25CF; Create and roll out TBG elite referral program in first 90 days

x25CF; Track and report all key metrics to CEO per annual business plan on a daily basis

x25CF; Create and implement Facebook content to support CEO in cultivating leads

x25CF; Manage all marketing systems per business plan (including Facebook Page, Instagram, Website, Newsletters, Client Gifts, Mailings, VIP client initiatives, etc.)

x25CF; Manage all advertising platforms per business plan

x25CF; Generate at least 15 5 star reviews per month on preferred platforms

x25CF; Maintain and continually upgrade all collateral, client gifts, promotional items, etc.

Systems and Operations

x25CF; Implement, automate and track all incoming leads, client data, and transaction data through team CRM, Seize the Market
x25CF; Maintain up:to:date Policies and Procedures Manual. The P and P Manual must be reviewed quarterly and updated as needed by all administrative staff who perform the individual tasks within the manual.

x25CF; Manage, troubleshoot and continually upgrade team systems. Each system to be evaluated quarterly per the systems spreadsheet.

x25CF; Oversee usage of database to ensure all required data is being entered and tracked (client contact information, source of business)

Leadership of Operational Staff and Office

x25CF; Weekly 411 and KASH meetings with full:time direct reports and CEO

x25CF; Monthly meeting with part:time direct reports

x25CF; Track and hit goals using 411, time blocking and effective calendaring

x25CF; Work closely as right hand to CEO with other duties and projects as assigned

x25CF; Cover any/all ops team member jobs as needed due to vacation, time off, etc.

x25CF; Track goals, prepare for weekly WIG meeting and run operational staff meetings

x25CF; Hold ops team accountable to task completion, system documentation and deadlines

x25CF; Hold new team member orientations and training on team systems (sales and ops)

x25CF; Organize office quarterly and hold it to a professional appearance standard daily

x25CF; Learn and use the Career Visioning system for any full:time hires

Reporting and Financials

x25CF; Evaluate expenses monthly, make recommendations to CEO, hold expenses accountable to budget

x25CF; Oversee teams proper tracking of activities in Seize the Market
